Fees and students
Fees and payments
Quotes, discount approvals, payment links, instalments, receipts and dues.
From quote to enrolment
- On the person's record, create a quote for the course, with any discount.
- Discounts above the limit go to a sales manager or administrator in Approvals.
- Mark accepted opens an enrolment with a fee plan: the course's instalments, with the discount taken off the last ones first.
Recording a payment
Fees and payments → Record payment takes the amount, the method (UPI, bank transfer, cash or cheque), the reference and the date, plus the receipt or screenshot if you have one.
A sales manager or administrator then confirms it. Someone other than the person who recorded it confirms, unless they are an administrator. Confirming fills the earliest instalments and issues a numbered receipt.
Made a mistake? Reverse it with a reason. The receipt is re-issued marked as reversed, and every step stays on the timeline and in the audit log.
Payment links (Razorpay)
If your institute uses Razorpay, Payment link on an instalment creates a seven-day link for what is left on it. When the student pays, the payment is confirmed and the receipt issued on its own. Razorpay charges its usual fee per transaction.
Dues and reminders
Dues lists every open and overdue instalment. With WhatsApp connected, Settings → Collections sends reminders using an approved template:
- up to three reminders before the due date, and one on the day;
- up to four after it while unpaid;
- escalation to the owner after the number of overdue days you choose.
Reminders follow consent and quiet hours, never stack up, and stop as soon as the instalment is paid.
