Sequences and automations

Follow-ups that send themselves and stop when the lead replies, plus when-this-then-that rules.

Sequences

A sequence is a few well-timed follow-ups that stop as soon as the lead engages. Administrators build them in Settings → Sequences:

  • Who it's for: courses, stages and sources.
  • Steps (up to 20): a wait, then a WhatsApp template or an email from the enrolling member's Gmail, optionally with documents as tracked links.
  • Working hours only, if you like. Quiet hours always apply.

Enrol people from their record, in bulk from People (up to 50 at a time), or from an automation.

When a sequence stops

As soon as the person replies, someone contacts them, their deal is won or lost, or they withdraw consent. Nobody gets a "just checking in" after they've already enrolled.

Automations

Automations are rules: when something happens, if conditions match, then do something. For example:

  • When a deal moves into Demo booked, create a follow-up call.
  • When a lead opens the fee sheet you sent, tell the owner straight away.
  • When a first-call deadline is missed, notify the sales manager.
  • When a website lead arrives for a course, start that course's sequence.

Actions include assigning an owner, creating a follow-up, notifying someone, updating a field, sending a template or documents, and calling a webhook.

Administrators turn automations on in Settings → Automations. Each one runs with the permissions of the administrator who turned it on, and contact rules apply to every message it sends. Every run is logged, so you can see what fired and why.
